are the different kinds of system? What factors should be kept in mind while
designing an effective MIS?

Management information systems or computer information
systems (CIS) consists of 5 related components—hardware, software, people,
procedures, and collection of knowledge. It is a general name for the tutorial
discipline that deals with the appliance of individuals, technologies, and
procedures, collectively referred to as information systems, to unravel
business problems MIS is different from regular information systems because it
is employed to research other information systems applied in operational activities
within the organization. However, before going into further details, it’s
essential to know the meaning of management, information, and system. MIS
tries to handle the organisation’s data system through a computer. It offers
vital information to managers in order that they will perform operational
control, internal control and strategic planning successfully.
What is
Management Information System?
Management requires complete information concerning a
drag or issue in right time so as to form effective decisions. The right
collection, handling and providing the proper information to the proper manager
in right time not only reduce the danger of wrong decisions but also work as an
efficient controlling technique. Complexities involved in business and economic
activities and voluminous government regulations create the necessity for
supply of right information to the proper manager within the right time.
Management data system (MIS) is defined as, “a formal
method of creating available to management accurate and timely information
necessary to facilitate the decision-making process and enable the
organisation’s planning, control and operational functions to be administered
effectively.”15 “The system provides information on the past, present and projected
future and on relevant events inside and out of doors the organisation.”
Generally, an organisation’s MIS consists of a series of data systems of
varying degrees of complexity, competence and scope.

Various systems for processing information are in use
by organisations for years. Because it was typical within the past, the tiny
general store was owned and operated by one man. The owner was both president
and chief executive undertaking all the functions required to work the shop
including advertisement, marketing research, accounting, internal control,
public relation then on.
The owner personally gathered all the knowledge
necessary to hold out various functions, either using it because it was
gathered or storing the knowledge in his memory for later retrieval. Once a
choice was made, the owner usually undertook the required action himself.
MIS is
developed under the direction of management:
Because of management orientation of MIS, it’s
imperative that, management of an organisation actively directs the event and
establishment of the MIS in an organisation. it’s rare to seek out an MIS where
the manager himself, or a high level representative of his department, isn’t
spending an honest deal of your time within the system design.
It is not a onetime involvement, because continued
review and participation are necessary to make sure that the implemented system
meets the specifications of the system that was designed. Therefore, management
of the organisation shouldn’t only take active part within the development of
MIS but also play a serious role in effecting subsequent changes within the
system in order that it serves the knowledge needs of the management.

After evaluation, the assignments have to be returned
to you by the Study Centre. Please insist on this and keep a record with you.
The marks obtained by you will be sent by the Study Centre to the Student
Evaluation Division at IGNOU, New Delhi.

There are five questions in each assignment, all carry
equal marks. Attempt all the questions in not more than 500 words (each). You
will find it useful to keep the following points in mind:
Planning: Read the assignments carefully. Go
through the units on which they are based, make some points regarding each question
and then rearrange them in a logical order
Organization and Presentation: Be analytical in
your selection of the information for your answer. Give adequate attention to
the introduction and the conclusion. Make sure that your answer is logical and
coherent; has a proper flow of information.
